Accommodate Implementation

This solution will allow campuses to document and unify the accommodation request process for enrolled UMS students, streamline accommodation letter production by integrating letter common templates with consistent language and allow for either paper or electronic delivery to students and faculty, provide a common request and delivery system for note-taking requests, effectively manage disability exam proctoring and provide students with greater independence in the process of scheduling and receiving accommodated testing, collect system-wide data to track number of students with disabilities including types of disabilities, accommodations provided and other data including accommodation usage, student retention and persistence.

Core team members are currently testing and practicing all modules that have been covered to date, highlighting workflow, supplemental, and appointment modules. The next module to be covered is Test Room Booking.

Letter templates continue to be developed and added to Accommodate. The team is finalizing its Communication and Training plan for staff, students, and faculty and a short training video for faculty has been created.


Advancement CRM Implementation

The University of Maine System sought proposals for the provision of a comprehensive Constituent Engagement Management (CEM) solution for Advancement that will assist in the design, management, and execution of an online strategy for content management, email marketing, online giving, event management, membership management, and social networking integration. The RFP was awarded to UC Innovation for their ascend product.

The Sprint 3 Gift Processing Referential Sprint began on March 21 and team members are currently testing configurations.

Data conversion meetings are underway. Reporting discussions have also taken place and various reporting options are being considered.

Sprints will continue up to Fall 2023 followed by testing, training, conversion and deployment. Anticipated go live of the ascend product is scheduled for Spring 2024.


Grants Management Solution  (Kuali)

This project will implement Kuali’s pre-and post-award solution that will provide enterprise-level grants management to support multiple campuses.  The team is focused on system and financial integration testing, business process testing, and training. The project is on track for a May 1 go-live for sponsored programs staff.


Peoplesoft Gender & Pronoun Implementation

Students, faculty, and staff will be able to access and feel confident that the representation expressed in UMS systems or activities of record (Systems: HR, Academic, and other fed by MaineStreet, Activities: Marketing, Citing, etc.) accurately reflects gender and can be edited via self-service. This will be supported by training in appropriate interaction and responsible use of pronoun information.

The team is currently focused on technical configurations, discovery regarding integrations, and business process and design decisions. The project is on track for a July go-live, but the outcome of a current risk concerning functionality in HighPoint to display additional information to users may impact the launch date.


Team Dynamix – Asset Management

The purpose of this project is to implement a new Asset Management system to include a new tool as well as business process improvements. The project team is currently working with the following IT teams to configure TDX asset management for their use – Classroom Technology, System Administrators, and Card Services.


Team Dynamix – IT Service Management

This project will complete our implementation of TeamDynamix as our primary tool for IT Service Management and will encompass the areas of Incident, Request, Problem, and Change Management.

During the monthly update this month, the team shared information about how forms and service requests work in  TDX. The IT Staff who participated were very engaged in this discussion.

UMS:IT Ticketing Application – Selected Service Requests
The implementation team just completed the initial process consulting and best practices review with our consultant and are beginning the design and implementation phase for our IT Ticketing application.

There are currently six service request forms/workflows in production using TeamDynamix.

MSLN/NOC/Networkmaine Ticketing Application
The MSLN team is assessing ways to phase the implementation of TDX.


Team Dynamix – Knowledge Management Implementation

The Knowledge Management project team continues to focus on working with T3 teams to develop plans for their documentation needs. Plans are in final draft stage for Info Security and Card Services.  An initial draft has been completed for Classroom Technology.  The team has also worked with the CS Dev group and the Sysadmin Team. Content that has historically been created in Confluence may best map to knowledge base, service catalog, asset management and/or ticketing. We are working to approach planning in a holistic way and identify the best solutions for each team while maintaining consistent standards for all of IT.


Team Dynamix – Project & Portfolio Management Implementation

The PMO is actively using TeamDynamix as our primary project management and reporting tool. The PMO has also started using the tool for Resources Management to gain an understanding of the capacity planning functions within TDX.

The Project Intake ticketing app has been built in production and is being tested prior to launch.


UMaine/UMM MaineStreet Integration

UMaine and UMaine Machias are involved in operationalizing the regional campus concept by incorporating UMM as a regional campus of UMaine. This project will incorporate UMaine and UMaine Machias into a single institution in MaineStreet (UMaine – UMS05) by integrating UMM (UMS04) course, program, student, and employee data under UMaine.

The Student Records team continues to review and build courses and course equivalencies in the production environment.  The Student Financials team is preparing to run the Term Fee roll process for UMS05 which will be followed by applying the setup for UMM Program Term Fees.  The Admissions team is collaborating with ERP Analysts to explore using the 3C Engine in conjunction with Pop Select rather than triggers for scheduling and sending communications. The team is also exploring using Comm Gen rather than Letter Gen. Equation Engine updates introduced in PUM 28 will address Residency coding issues for Financial Aid.


UMPI Website

A team at UMPI has been working on planning for the redesign of its website for some time and this effort is now transitioning to a project. Requirements gathering is nearing completion, and the charter and schedule are currently being developed.


2019 DLT RUS Grant

A meeting was held with site location stakeholders to discuss changes to equipment locations. The scope change document will be submitted to the USDA in the near future, and the remaining equipment will be ordered. Cart deliveries will occur this summer.

 


2020 DLT RUS Grant

Amwell has submitted the I-9 form so Northern Light’s equipment can be ordered through Marketplace. We are awaiting the finalization of Northern Light’s equipment list. Once the final equipment list is received from Northern Light, the Scope Change document can be submitted to the USDA. A PO for the purchase of equipment was sent to Penobscot Community Health.

We are awaiting a status update on the completion of electrical work in the Nursing rooms at UMaine so equipment can be installed.
